Start with the decision
Which decision should each report support: cash shortages, product margins or overdue receivables? These require different information. Define the user, decision and review frequency before combining everything into a dashboard.
Align periods and definitions
Specify whether sales follow order, invoice, delivery or payment dates. Reports will disagree when the same revenue label uses different date logic. Agree how cancellations, returns and late corrections are assigned to periods.
Separate profit from cash
A profitable business can still face a cash shortage because receivables, stock and payment timing differ. Investigate these separately and label assumptions. This article provides a general management framework, not personalised investment or tax advice.
Reconcile to the source
Give every metric a source and refresh owner. Check duplicate rows, missing keys, currencies and date formats. Reconcile report totals to source totals explicitly. A functioning chart is not evidence of correct data.
Turn variance into action
Investigate price, volume, mix and timing effects rather than merely displaying the difference. Mark unproven causes as hypotheses. Finish the review with a decision, accountable owner and follow-up date, then revisit the effect of earlier actions.
Define the model before automation
Excel and Power BI are tools; business rules, account mappings and metric definitions come first. Discuss reporting models through financial consulting, data and dashboard requirements through BI solutions and ownership through KPI consulting.
